Write down your own payroll requirements

Before comparing feature lists, list the pay frequencies, employee circumstances and reporting processes your business actually uses. A simple monthly payroll and a mixed weekly workforce can need different workflows.

Consider who enters hours, who checks them, who reviews payroll and who submits returns. Software that calculates figures still needs a reliable process for collecting and approving the inputs.

Check the important cases in a demonstration

Use fictional test records to check how a shortlisted product handles the situations relevant to your workforce. Ask for clarification if the demonstration does not show them.

  • Your pay frequency, starters, leavers and year-to-date records.
  • Overtime, holiday, sickness and other applicable pay treatment.
  • Your pension arrangements and relevant deductions.
  • Payslips, period review and evidence of filing results.
  • Permissions for staff and your accountant.

Look beyond the payroll run

For a trade employer, time records may also be needed to understand the cost of a job. Ask whether hours retain their project allocation and whether the office can review the related purchases and expenses.

A connected workspace can be useful when it fits the business. A standalone payroll tool can also be appropriate. Compare the workflows you need rather than assuming that the longest feature list gives the best value.

Compare the total commitment

Check the regular price after any introduction, employee limits, staff-login limits, accountant access and any additional charges. Read the cancellation terms and find out how you can export records if you leave.

Support matters most when there is a question to resolve. Check what is included, how appointments are arranged and which tasks remain your responsibility. A setup call should have a clear purpose and realistic scope.

Verify claims and plan a careful move

HMRC publishes information about recognised payroll software and explains that it does not recommend one product over another. Verify the exact product and service rather than treating a general mention of HMRC as an endorsement.

Trade Insight’s live demo, published packages and switching guide give you a starting point for evaluating its connected workspace. Confirm your company setup and requirements before choosing a package or arranging a filing handover.
